Front Office Supervisor
Position Overview:
We are seeking a highly motivated and skilled Front Office Coordinator to join our team in Juffair, Manama, Bahrain. This role requires an individual who excels in coordinating front office operations, delivering exceptional guest service, and leading a team to uphold high standards of hospitality. Key Responsibilities:
- Front Office Coordination:
- Assist in coordinating the daily tasks and operations of the Front Office to ensure smooth and efficient functioning.
- Professional Conduct:
- Project courtesy, hospitality, and professionalism at all times. Ensure that all line employees exhibit the same levels of professionalism and courtesy when interacting with guests and colleagues.
- Guest Management:
- Review daily hotel reports including arrivals, departures, and in-house statuses to manage guest requests, VIP arrivals, group bookings, and special reservations.
- Greet, register, assist, and efficiently check out hotel guests, ensuring a seamless and pleasant experience.
- Manage guestroom and master keys with high levels of security and accuracy.
- Handle VIP guests and group bookings with the utmost care and attention.
- Guest Services:
- Assist guests with SBEC membership details, queries, and enrollment processes as needed.
- Serve as the first point of contact for guest queries and resolve issues promptly and professionally.
- Monitor guest feedback and provide recommendations for improvements or new services to enhance guest satisfaction.
- Billing and Cashiering:
- Ensure compliance with departmental billing, cashiering, and cash float procedures.
- Address any charge disputes and discrepancies effectively when required.
- PABX Supervision:
- Oversee PABX operations, including reviewing hotel reports to brief telephone operators on VIP guests, group bookings, and special reservations.
- Update the emergency contact list each shift to ensure accuracy and functionality.
- Ensure all phone calls are answered within three rings and transferred efficiently according to established standards.
- Log and communicate guest requests and wake-up call requests following established procedures.
- Manage emergency telephone systems and troubleshoot issues as appropriate.
- Business Centre Management:
- Accurately manage all Business Centre activities and conduct routine inventory checks to maintain adequate stock levels.
- Training and Development:
- Actively participate in training and induction programs for new employees. Deliver training sessions as required and coordinate with the HR department and trainers.
- Coach line employees on service standards and operating procedures, addressing potential issues and disciplinary matters as needed.
- In the absence of your manager, coordinate department briefings and communicate updates on policies and procedures.
- Policy and Compliance:
- Maintain a thorough understanding of the Employee Handbook and adhere to its regulations.
- Ensure knowledge of the Hotel’s fire, safety, and health policies, and take precautions to safeguard against incidents within your area of supervision.
- Additional Responsibilities:
- Perform other duties as assigned by superiors to meet business needs.
